Terms of Service
Last updated: October 27, 2026
These Terms of Service ("Terms") govern your access to and use of Property Management Hub ("we", "us", or "our"), a cloud-based platform for managing rental properties, tenants, leases, rent payments, maintenance, and related operations. By creating an account or using the service, you agree to be bound by these Terms. If you do not agree, you may not use the service.
1. Eligibility and Accounts
You must be at least 18 years old and able to form a binding contract to use the service. You are responsible for maintaining the security of your account credentials and for all activity under your account. You agree to provide accurate information when registering and to keep it current.
2. Acceptable Use
You agree not to:
- Use the service for any unlawful purpose or in violation of these Terms.
- Upload or transmit content that infringes the rights of others or that is defamatory, harassing, or fraudulent.
- Attempt to access data or accounts you are not authorized to access.
- Interfere with the operation of the service or its infrastructure.
- Use the service to collect payments or funds outside of authorized property management activities.
- Reverse engineer, decompile, or attempt to extract the source code of the platform.
3. Your Content and Data
You retain ownership of the property records, tenant information, documents, and other data you upload ("Content"). You are responsible for ensuring you have the right to upload and share Content, including any consents required from tenants, applicants, and owners. You grant us a limited license to host, process, and display your Content as needed to operate the service.
4. Subscriptions and Billing
Some features require a paid subscription. Subscription fees are billed on a recurring basis through our payment provider. Fees are non-refundable except as required by law or as stated in a specific refund policy. We may change pricing with reasonable advance notice. You can cancel your subscription at any time; cancellation takes effect at the end of the current billing period.
5. Payments Processing
The service integrates with third-party payment processors to collect rent, disburse funds, and process vendor and owner payments. Payment processing is subject to the terms of the applicable processor. We are not a bank and do not hold customer funds; funds are held and transferred by the payment processor according to its terms. You are responsible for any fees, chargebacks, or disputes related to transactions you initiate.
6. Tenant Screening
When an organization uses tenant screening features, screening is performed by a third-party screening provider. Screening decisions and applicant data are governed by the provider's terms and applicable fair housing and credit reporting laws. We do not guarantee the accuracy or outcome of any screening report.
7. Intellectual Property
The service, including its software, design, and branding, is owned by Property Management Hub and protected by intellectual property laws. These Terms do not grant you any right to use our trademarks or branding except as permitted.
8. Disclaimers
The service is provided "as is" and "as available" without warranties of any kind, whether express or implied. We do not warrant that the service will be uninterrupted, error-free, or secure, or that results will be accurate or reliable. You use the service at your own risk.
9. Limitation of Liability
To the maximum extent permitted by law, Property Management Hub and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or business, arising out of or related to the service, whether based on warranty, contract, tort, or any other legal theory, even if we have been advised of the possibility of such damages.
10. Indemnification
You agree to indemnify and hold Property Management Hub harmless from claims, damages, and expenses arising out of your Content, your use of the service, or your violation of these Terms or the rights of others.
11. Suspension and Termination
We may suspend or terminate access if you violate these Terms or if your account remains inactive. You may close your account at any time by contacting us. Upon termination, your right to use the service ends; we may delete your data according to our retention policy.
12. Changes to These Terms
We may revise these Terms from time to time. We will post the updated Terms on this page and update the "Last updated" date. Continued use of the service after changes take effect constitutes acceptance of the revised Terms.
13. Payment Terms and Authorizations
- Online rent payments are processed by our payment processor (Stripe) and paid directly to the property manager's or landlord's connected bank account. Property Management Hub does not hold rent funds.
- Tenants authorize the stated amount to be debited from their bank account (ACH) or charged to their card for each payment they submit, and for recurring payments when they enroll in autopay. Autopay can be cancelled in the portal at least 3 business days before the next scheduled payment.
- Card payments carry a card processing fee shown before the payment is submitted; it is retained by Property Management Hub and is not part of rent. Bank (ACH) payments have no processing fee to the tenant.
- If a payment is returned or declined (insufficient funds, closed account, chargeback), the payment is reversed on the tenant's ledger and the returned-payment fee set by the property manager in the lease may be charged. Repeated returns may disable online payments for that tenant.
- Disputes about rent amounts, fees or charges are between the tenant and their property manager or landlord. ACH payments are subject to NACHA rules.
14. Electronic Signatures and Records
- Users agree to sign documents electronically and to receive records and notices electronically under the federal ESIGN Act, the Illinois Electronic Commerce Security Act and any applicable UETA. An electronic signature has the same effect as a handwritten signature.
- Signers can request a paper copy from the party who sent the document, and can withdraw consent to electronic records by contacting that party before signing. Withdrawing consent does not affect documents already signed.
- Completed documents and an audit trail (signer, email, time stamp, IP address) are stored and available for download. Users must keep their email address current.
15. Subscriptions, Billing and Cancellation (Business Customers)
- Plans are billed monthly or annually in advance at the price shown at sign-up. A free trial, if offered, converts to the selected paid plan at the end of the trial unless cancelled before it ends; we send a reminder before the first charge.
- Subscriptions renew automatically for the same term until cancelled. Customers can cancel anytime in Settings; cancellation takes effect at the end of the current billing period and no further charges are made. We will notify customers of any price change at least 30 days before it applies.
- Fees already paid are non-refundable except where required by law, or where we cancel the service without cause, in which case we refund the unused prepaid portion.
- Customer data belongs to the customer. After cancellation, the customer can export their data for 60 days; after that we delete it, except records we must keep for legal, tax or payment-dispute reasons.
- We may suspend accounts for non-payment after notice.
16. Governing Law
These Terms are governed by the laws of the jurisdiction in which Property Management Hub operates, without regard to conflict-of-law principles. Any disputes will be resolved in the courts of that jurisdiction.
