Privacy Policy
Last updated: September 22, 2026
Property Management Hub ("we", "us", or "our") operates a cloud-based property management platform that helps property management companies, landlords, rental owners, tenants, and service vendors manage properties, leases, rent payments, maintenance requests, and related documents. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By creating an account or using our services, you agree to the practices described below.
1. Information We Collect
Account information: name, email address, phone number, company name, and authentication credentials when you register or are invited to the platform by a property manager.
Profile and business data: role (staff, owner, tenant, or vendor), organization association, property access settings, and contact details you choose to provide.
Property and tenant records: property addresses, unit details, lease terms, rent amounts, tenant contact information, and occupancy status entered by authorized organization administrators.
Payment and financial data: when you make or receive payments through the platform, we process transactions through our integrated payment providers (such as Stripe). We may store limited payment method descriptors (for example, the last four digits of a card or bank account) but we do not store full card numbers or bank account numbers on our servers.
Maintenance and documents: maintenance request descriptions, photos, and uploaded documents such as leases, inspection reports, and invoices.
Rental application data: applicant personal details, employment and rental history, income information, and screening reports when an organization uses tenant screening.
Usage and device data: IP address, browser type, device identifiers, and interaction logs that help us operate, secure, and improve the service.
2. How We Use Your Information
- To create and manage user accounts and to authenticate your identity.
- To provide property management features including rent collection, maintenance tracking, leasing, accounting, and reporting.
- To process payments, refunds, and payouts and to maintain transaction records.
- To send transactional and account-related notifications such as payment receipts, maintenance updates, lease reminders, and invitation emails.
- To facilitate tenant screening through third-party screening providers when initiated by an authorized organization.
- To provide customer support and respond to your requests.
- To detect, prevent, and address fraud, abuse, and security issues.
- To comply with legal obligations and enforce our Terms of Service.
3. How We Share Information
We share your information only as necessary to operate the service and as described here:
- Within your organization: authorized staff and administrators within the same organization can view property, tenant, and financial records relevant to their role and access permissions.
- With tenants, owners, and vendors: limited information is shared with the relevant parties to facilitate leases, payments, and maintenance (for example, a tenant sees their own rent and lease information; a vendor sees assigned work orders).
- Service providers: we use trusted third parties such as payment processors, email delivery, and cloud infrastructure providers that help us operate the platform. These providers are bound by confidentiality obligations.
- Screening providers: when an organization initiates tenant screening, applicant information is shared with the chosen screening service.
- Legal compliance: we may disclose information when required by law, court order, or to protect our rights and the safety of our users.
4. Data Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and role-based permissions. Payment data is handled by PCI-compliant payment processors. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard practices.
5. Data Retention
We retain account and business records for as long as your account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. When an account is closed, we delete or de-identify data according to our retention schedule unless retention is required by law.
6. Your Rights and Choices
- Access and update: you can view and update your profile information within your account settings.
- Organization data: requests to correct or delete organization records (properties, tenants, documents) should be directed to your organization administrator.
- Communication preferences: you can opt out of non-essential promotional emails using the unsubscribe link in those emails.
- Data requests: depending on your location, you may have rights to access, correct, export, or delete your personal data. Contact us at info@propertymgmthub.com to exercise these rights.
7. Cookies and Similar Technologies
We use cookies and similar technologies to operate the service, remember your session, and analyze usage. You can control cookies through your browser settings. Disabling cookies may affect some features of the platform.
8. Children's Privacy
The service is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with information, contact us so we can delete it.
9. Third-Party Links and Services
The platform may contain links to third-party websites and integrate with third-party services (for example, screening providers and payment processors). We are not responsible for the privacy practices of these third parties, and we encourage you to review their privacy policies.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the "Last updated" date. Material changes will be communicated through the platform or by email where appropriate.
